Purpose

The Archives Assistant will help facilitate the daily operations of the denominational archives and records management center.  He/she is responsible for providing reference assistance, assisting with the arrangement and description of historical records, performing general clerical work, and managing statistical information about archival operations.


Responsibilities

Provide reference assistance.

  • Register new archives users and greet returning archives users.
  • Interpret archival finding aids to answer archives users' questions.
  • Retrieve desired materials for archives users.
  • Respond efficiently and effectively to users contacting the archives by phone, email, fax, or post.
  • Provide accurate information about archives hours and policies.
  • Perform on-demand scanning for remote patrons.

 

Assist with arrangement and description of historical records.

  • Retrieve and assemble unprocessed materials for review.
  • Rebox materials into document cases and records cartons.
  • Refolder materials in damaged folders; folder unfoldered materials.
  • Label folders and boxes.
  • Create box and folder inventories in online finding aid database.
  • Assign shelf locations to newly processed materials and record in database.

  

Perform general clerical duties and other duties as assigned.

  • Assist with scanning, digitization, and/or preservation projects.
  • Assist with reshelving projects and update locations in database.
  • Maintain paper and electronic files pertaining to archival operations.
  • Compile statistics of collection use, researcher visits and other archival metrics.
  • Dispose of recycling and trash as needed.

Leadership and communication skills

  • Ability to work as part of a team.
  • Multi-task, self-manage, and problem-solve. Adaptability and prioritization are imperative.
  • Anti-racism training a plus.
  • Reading knowledge and/or conversational skills in Spanish or in German a plus.


Technical skills and education

  • B.A., preferably in History, Religion, Spanish or German.
  • Proficiency in Microsoft Word, Outlook and Excel.
  • Strong skills in communicating via phone and email.
  • Strong organizational skills.
  • Demonstrated attention to detail and accuracy.
  • Demonstrated experience with online searching in a library or archives environment.
  • Ability to lift 40 pounds unassisted.
